LAFOLLETTE, TN (SPECIAL TO WLAF)- The New Horizon Baptist Church has an Administrative Assistant position that is now open. The previous AA called it a career and retired creating this rare opportunity.

Job Description

PURPOSE OF POSITION:

Primary function is to oversee all activities of the main church office.

Work Schedule:

1.  Monday – Thursday (Salaried – 24 hours per week) works during the Church’s office hours: 9am -3pm.

2.  Paid Holidays: New Year’s Day, Martin Luther King Day, Good Friday, Memorial Day, Fourth of July, Labor Day, Thanksgiving, and Christmas.

3.  Leave.

a. Two weeks paid vacation shall be earned after one (1) year of employment, with one week available after six months.

b.  Sick Leave is accrued at the rate of one-half day per month.  No cash-in value is available at the end of employment.  Any unused sick leave is carried over to the next year.

c.  Emergency Leave.  Emergency leave is unpaid time off and will be handled on a case by case basis by the Pastoral Staff.  The employee may choose to use paid vacation time as Emergency leave if paid vacation and emergency leave combined do not exceed two weeks.

d.  All leave requests will be approved by the Pastoral staff in writing, electronic signatures are acceptable.

QUALIFICATIONS:

1. Minimum of three years of experience in performance of administration duties, or equivalent experience.

2. Strong computer skills are imperative (MS Windows, Word, Excel, Access, PowerPoint, Outlook)

3. Proficiency in the use of standard office tools

4. Strong organizational skills

5. Have excellent command of English composition and punctuation

SUPERVISION:

1. This person reports directly to the Pastor unless otherwise directed.

2. The Pastor in coordination with the Elders will conduct an annual performance review no later than 30 September each year.  The performance review will be forwarded to the Finance Committee Chairperson for inclusion in the committee’s annual budget considerations/recommendation to the Financial Committee.

3.  Any grievances that may occur will first be discussed with the Pastor unless said grievance involves the Senior Pastor at which time the grievance will be brought to the Elders.     

JOB DUTIES INCLUDE, BUT ARE NOT LIMITED TO:

1. Maintenance and organization of reception area.

2. Ordering and maintenance of office supplies and equipment.

3. Organization and maintenance of church and Pastor’s calendars.

4. Pick up, distribution and dissemination of all correspondence.

5. Screening and routing all incoming calls.

6. As directed by the Pastor, answer mail – correspondence e.g. letters, phone calls, etc…

7. Check church and administrator email and respond appropriately.

8. Maintain accurate membership records (Church Directory, new members, baptisms, weddings, deaths, etc.)

9. Process baby dedication requests and prepare baby dedication certificates.

10. Routine filing of paperwork.

11. Prepare new members’ information packets and coordinate new members’ classes.

12. Notify all Pastor, Elders, and Deacons of member hospitalizations, deaths, etc.

13. Prepare, proof, print, and disburse weekly bulletins.

14. Prepare, proof, and disburse church weekly email.

15. Prepare minutes of weekly Staff meetings.

16. Perform other duties as directed by Pastoral staff.

17. When these tasks are delegated, audit to ensure they are accomplished.

  • Should possess strong administrative skills and the ability to work independently without supervision.
  • Should demonstrate a life following Christ.
